> An HVAC technician's year has two seasons of emergencies and two of maintenance. In July it is eight no-cool calls a day and an attic at 130 degrees; in October it is the furnace tune-ups promised under service agreements. The app has to put the emergency on the right customer at the emergency rate, keep the capacitor receipt with the call, and remind you who gets a recurring invoice. We compared seven iPhone apps on that.

## Quick answer

Quick answer: Housecall Pro and ServiceM8 are the best fit for an HVAC shop with a dispatcher and several technicians. Timemator is a clean, pay-once tracker for a tech whose employer sends the invoices. For the owner-operator who carries maintenance agreements and bills customers directly, iTimeSheet is our pick: an emergency rate on one entry, parts receipts on the call, a monthly recurring-invoice nudge, and invoices from the same tab.

HVAC work is lopsided, and that is what trips up most app choices. A tool that looks fine in a calm October week falls apart in July, when calls stack up, parts get bought between jobs and nobody remembers which capacitor went into which unit. The reverse also happens: a dispatch platform bought for a summer peak keeps charging a company subscription through a quiet winter for one person.

We ranked seven apps from the US App Store against the criteria below, using each app's own listing and the ratings shown on the date above. iTimeSheet is our app; it went through the same criteria, and we are explicit about the cases where a field-service suite is the better choice.

## What to look for

We ranked for a July week of emergencies and an October of contract visits, because an HVAC app has to handle both.

- **Emergency rate on one call, not on the customer** — A Sunday no-cool bills differently from the Tuesday tune-up for the same household. The app should override the rate on a single entry and leave the customer's regular rate alone.
- **Parts on the call they went into** — The capacitor, the contactor and the refrigerant each belong to one visit. A receipt photographed at the counter and pinned to that call is the difference between billed and forgotten.
- **Agreements that bill on a schedule** — Maintenance agreements are invoiced monthly or per visit. The app should keep each visit under its agreement and remind you who is due.
- **Works in an attic and a mechanical room** — Neither has signal. The timer must keep running and the entry must be saved locally.
- **Invoice the same day, chase the late ones** — Service calls are small amounts that add up, and late ones add up faster. One tap to invoice, an Unpaid filter and a ready chase e-mail save hours each month.
- **The customer list is the business** — Who has which unit and what they pay is the file a competitor would want. We favored apps that keep it on the phone or in a cloud the user chose knowingly.

## The ranking

### 1. iTimeSheet: Best for owner-operators with service agreements — <https://apps.apple.com/us/app/itimesheet-hours-invoices/id287629482>

_5.0 ★ · 1 ratings · US App Store_

**Calls, agreements and parts per customer, with a monthly nudge for contract billing**

The Client, Mission and Task tree reads as customer, agreement or call, and visit for an HVAC business. A household on a maintenance agreement gets one mission for the agreement, with its spring and fall visits under it; a one-off no-cool gets its own mission. Rates cascade from the customer, so agreement visits bill at the agreed rate and the Sunday emergency gets an override on that single entry. The timer starts from the app or the Watch, and on Pro from the Lock Screen or a widget; switching calls saves the previous one with its duration.

On Pro, the supply-house receipt is photographed and attached to an expense pinned to the call, using one of the fourteen presets or a category created for parts, since there is no parts preset. On Studio, the Invoices tab lists each customer's un-invoiced amount and makes the PDF in one tap with a logo, yearly sequential numbering, the US layout and payment details. A monthly recurring-invoice nudge, a 09:00 notification, reminds you which agreement customers to bill; it never sends anything by itself. Unpaid invoices are one filter away, overdue reminders come with a pre-filled chase e-mail, credit notes cancel an invoice sent in error, and quotes with deposit invoices cover a system replacement.

Data lives in a local database on the phone, with no account, no vendor server and no analytics SDK. Manual iCloud backup works on every tier, and automatic daily backup starts with Essential. The limits: one user, so no dispatch board and no second technician; iPhone and Apple Watch only, no iPad yet and no web app; no card payments in the app; no equipment records per customer; and no accounting connector beyond CSV export.

- **Strengths:** Per-entry rate override for emergency calls on top of the customer rate; Receipt photos attached to expenses pinned to the call on Pro; Monthly recurring-invoice nudge, Unpaid filter and pre-filled chase e-mail on Studio; No account and no vendor cloud; Watch taps queue offline and are backdated
- **Limits:** Single user: no dispatch, no scheduling, no second technician in the same database; No equipment or service-history records per customer; iPhone and Apple Watch only: no web app, no iPad version yet, no Android; A single US rating since the July 2026 relaunch
- **Best for:** An owner-operator HVAC technician who services households and small businesses, carries maintenance agreements and sends their own invoices.
- **Pricing:** Free: 3 customers and 2 entries a day. Essential is $4.99/mo or $29.99/yr for unlimited entries, expense lines, drill-down reports, CSV and PDF export, and daily iCloud backup. Pro is $7.99/mo or $59.99/yr for receipt photos, the expense presets and widgets. Studio is $9.99/mo or $89.99/yr for invoices, the recurring-invoice nudge, quotes, deposits and credit notes; it has no free trial, but a watermarked invoice preview shows the PDF with your own data first.

> ★★★★ **Very useful app** — « We use this app to manage our time for our service techs. Very user friendly and easy to navigate!

I would like to recommend that a toggle be added to make a job complete/incomplete and be able to pull up the jobs still incomplete. »

### 2. ServiceM8: Best for small HVAC shops

_Eroldawn Pty Ltd · 4.5 ★ · 848 ratings · US App Store_

**Job cards for HVAC, with staff on a map**

ServiceM8 lists HVAC among the trades it was built for: job cards, quotes, staff locations, invoicing and payments, on a subscription with an account. It assumes staff to manage. For a shop with three technicians and someone taking calls, it runs the whole day, which iTimeSheet does not try to do; for one technician it is more structure than the day needs.

- **Strengths:** Trade-specific job cards and quotes; Invoicing and payments included; Staff locations for a team
- **Limits:** Subscription and account; data on the vendor's servers; Designed around staff, heavy for a single tech; Time tracking is one feature among many
- **Best for:** A small HVAC company with a few technicians that wants job cards, staff locations and payments in one account.
- **Pricing:** Subscription

### 3. Housecall Pro: Best for dispatch at company scale

_Codefied Inc. · 4.7 ★ · 30,906 ratings · US App Store_

**Dispatch, invoicing and payments for home services**

Housecall Pro is a large home-services platform on the US store, with more than thirty thousand ratings: scheduling, dispatch, invoicing, payments and customer marketing, on monthly plans. HVAC is squarely its market. It beats iTimeSheet on everything a dispatcher needs; it loses on the price for one person and on the fact that the customer list lives on the vendor's servers.

- **Strengths:** Scheduling, dispatch, invoicing and payments together; Customer marketing tools; Large, established user base
- **Limits:** Monthly plans priced for a company; Account and vendor cloud required; Far more than an owner-operator needs
- **Best for:** An HVAC company with a dispatcher and several vans that wants scheduling, dispatch and payments in one system.
- **Pricing:** Subscription

### 4. Jobber: Best for crews on QuickBooks

_Octopusapp Inc · 4.8 ★ · 21,250 ratings · US App Store_

**Quotes, scheduling, dispatch and QuickBooks sync for a crew**

Jobber keeps a crew's day in order: quotes, scheduling and dispatch, invoicing, payments and QuickBooks sync, on monthly plans built for a business with a crew. For an HVAC company it is a serious alternative to Housecall Pro, especially when the books are already in QuickBooks. For a technician alone in a van, it is a company's software bought for one person.

- **Strengths:** Quotes, scheduling and dispatch for a crew; Invoicing and payments; QuickBooks sync
- **Limits:** Monthly plans priced for a business; Account required; customer data on the vendor's servers; Heavy for one technician
- **Best for:** An HVAC contractor with several technicians who wants dispatch, quotes and payments under one account.
- **Pricing:** Subscription

### 5. Fergus: Best for supplier invoice import

_Fergus Software Ltd. · 4.2 ★ · 8 ratings · US App Store_

**Supplier invoices imported into the job, with accounting sync**

Fergus Go is trades job management with a feature the others here do not advertise: supplier invoices imported into the job, so parts costs land on the right customer without a photo. It syncs with accounting software and is a team product on a subscription. For a US reader, two cautions: it is strongest in New Zealand and Australia, and on the US store it shows a 4.2 average on only 8 ratings as of the date above.

- **Strengths:** Supplier invoice import into the job; Accounting sync; Job management built for the trades
- **Limits:** Team product on a subscription, with an account; Strongest in New Zealand and Australia; Only 8 US ratings as of 15 October 2026
- **Best for:** A small HVAC business, ideally in New Zealand or Australia, that wants supplier invoices and accounting in the same flow.
- **Pricing:** Subscription

### 6. Timemator: Best pay-once tracker for employed techs

_Gleb Kotov · 4.7 ★ · 170 ratings · US App Store_

**A one-time purchase with no account, for the tech who invoices elsewhere**

Timemator is a clean, private tracker: one-time purchase, no account, iCloud sync, hourly rates and earnings, a Live Activity, an Apple Watch app and a PDF report for clients. It organizes time in folders and tasks rather than customers and calls, and it does not invoice. For a technician whose shop sends the invoices, it is a good personal record of hours.

- **Strengths:** One-time purchase, no account, iCloud sync; Hourly rates, earnings and a PDF report; Live Activity and Apple Watch
- **Limits:** No invoices, no quotes, no receipts; Folder and task model rather than customer and call; Fewer ratings than the big suites
- **Best for:** An HVAC tech who wants a private, pay-once hours tracker and bills through someone else.
- **Pricing:** One-time purchase

### 7. HoursTracker: Best for a geofenced shift log

_Cribasoft, LLC · 4.8 ★ · 56,323 ratings · US App Store_

**Clock-in reminders at the customer's address**

HoursTracker carries more than fifty thousand US ratings: jobs, clock in and out, breaks, pay, CSV export, and geofenced reminders to clock in when the van reaches a saved address. It has no invoicing and no receipts, and the optional account only serves cloud backup. For an employed technician who wants proof of hours per job, it is enough.

- **Strengths:** Geofenced clock-in reminders; Breaks, pay and CSV export; Account optional, for backup only
- **Limits:** No invoicing, no receipts; Jobs only, no customer, agreement and visit tree; Billing happens in another tool
- **Best for:** An employed HVAC technician who needs an accurate, exportable record of hours per job.
- **Pricing:** Free with in-app purchase

## Frequently asked questions

### What is the best time tracking app for HVAC technicians?

For an HVAC shop with a dispatcher and several technicians, Housecall Pro, ServiceM8 or Jobber handle the schedule, dispatch and payments. For an employed technician, Timemator or HoursTracker keep a clean record of hours. For the owner-operator who carries maintenance agreements and invoices directly, we rank iTimeSheet first, because calls, parts and agreement billing sit on the same customer and Studio turns them into invoices.

### Does the timer keep going in an attic with no signal?

In iTimeSheet, yes. The timer, entries, expenses and reports all run on the phone and never wait for a server. If only the Apple Watch is at hand, it queues its taps out of range and backdates them once it reconnects. A connection is only needed for the iCloud backup and the App Store purchase.

### Where is the customer list stored?

In iTimeSheet, in a local SQLite database on the iPhone, with no account, no vendor server, no analytics SDK and no ads. iCloud backup writes a single file to the user's own iCloud Drive, daily and automatic from Essential. ServiceM8, Housecall Pro, Jobber and Fergus require an account and store customer data on their own servers.

### How are maintenance agreements billed every month?

In iTimeSheet's Studio tier, each agreement is a mission with its visits logged under it. The Invoices tab shows the un-invoiced amount per customer, and a monthly recurring-invoice nudge at 09:00 reminds you which customers to bill. It never sends an invoice by itself: each PDF is generated with a tap, then marked paid when the money arrives.

### What does a US HVAC invoice need to show?

There is no national list of mandatory invoice fields in the US beyond identifying the business, the customer, the work and the amount; sales tax on parts and labor varies by state. iTimeSheet's Studio tier provides a US layout with yearly sequential numbering, the customer's billing profile, payment terms and bank details. It does not compute sales tax.

### What does it cost for one technician?

iTimeSheet's free tier covers 3 customers and 2 entries a day. Essential is $4.99/mo or $29.99/yr, Pro $7.99/mo or $59.99/yr, and Studio, with invoicing, the recurring nudge and quotes, $9.99/mo or $89.99/yr on the US store. Essential and Pro have free trials; Studio has a watermarked invoice preview instead. Subscriptions renew through Apple, and cancelling never deletes data.

## The bottom line

Once there is a dispatcher and a second van, Housecall Pro, ServiceM8 or Jobber are the right tools, and the subscription is the price of running a crew. Fergus deserves a look where supplier invoice import matters, and employed technicians can keep their hours with Timemator or HoursTracker.

For the HVAC technician who owns the van and the customer list, iTimeSheet is the first install: the Sunday no-cool bills at its own rate, the capacitor receipt stays with the call, agreement customers come up in the monthly nudge, and the invoice leaves from the same tab, with nothing stored on a vendor's server.
